As a Receptionist, you will create an exceptional welcome for both members of staff and the visitors entering the building. They will also assist with meeting room management, including the booking of meeting rooms, meeting room and hospitality set up, and escorting guests and clients to the relevant rooms. You will be the go-to person in the office, covering a wide range of tasks for the client. To exceed expectations, the Receptionist will need to work closely with all other service providers, ensuring a seamless experience is provided to all staff using the space.

Some of the main duties of the role include: -

  • First point of contact for the office providing admin assistance to the team.
  • Handling all incoming telephone calls.
  • Management of incoming and outgoing post.
  • Completing of the reception visitor log, assistance reports and any other site specific reports or administrative duties required by the site and management.
  • Organising international couriers, making sure they are received on time.
  • Maintain security and access card system creating security passes for employees and issuing visitor passes.
  • Maintaining and updating the room booking system.
  • Organising meetings and providing hospitality to visitors and staff.
  • Maintaining stationery stock and ordering when appropriate.
  • Assisting the team in maintaining a tidy, safe and friendly working environment.
  • Ensuring housekeeping and maintenance issues are reported and dealt with.
  • Complying with reception and client procedures, rules and regulations.
  • Assisting the Facilities Management Team with facilities and building arrangement.

 

The position involves covering reception desks, conference suite and meeting rooms on the floor. Which means you will enjoy getting involved in a variety of tasks and interacting with new people every day. We are looking for someone who loves providing a warm and upbeat welcome, with outstanding personal presentation and the ability to engage with people in a genuinely welcoming way.

As a Client Host you will be reliable, flexible, honest and a strong ambassador for both Portico and our Client. You will have the chance to use your previous experience in a 5-star service environment to positively engage with clients and other stakeholders, ensuring they receive a seamless service experience. You will anticipate client needs, proactively following up to ensure that client expectations exceeded. Your problem – solving skills and flexibility are key to ensure the smooth running of daily operations while your attention to detail will help you in preparing reports and making sure your surroundings are both presentable and safe.

Salary: 27352 + £7.50 food allowance daily

Hours: 40 hours per week Mon - Fri (alternate shifts between 7am and 6 pm)

AV/IT skills preferred. Experience with Condeco and Freespace booking system preferred, but not essential. .
